Triumph Travel Terms

IMPORTANT:

  • This quotation is valid for 10 days from the date of the quote.

  • Reservations have not been made unless the contrary is indicated

  • The quotations are subject to the availability of all services at the time of making a reservation. Triumph Travel will only make a reservation once the agent requests this in writing. As soon as the reservation is confirmed, cancellation policies will come into effect.

  • The price quoted is subject to change in the event of any unforeseen increases in fuel costs including currency fluctuations (relevant to aircraft or transfer services either land, maritime or air transport) and/or Government levies/taxes. Please be aware that if any Government Tax is issued by any country or government even once the reservation is already paid, the client will be liable for this increase or new taxes.

  • Services are quoted and invoiced in different currencies depending on the currency of the services. Botswana, Zambia and Zimbabwe are always quoted in US Dollars whilst South African and Namibian services are quoted and invoiced in South African Rand.

  • Mala Mala is the only exception in South Africa and is always quoted in US Dollars.

  • THE RATE OF EXCHANGE WILL ONLY BE DETERMINED ON DATE OF PAYMENT OF INVOICE. In order to provide an indication of total price in US$ one must convert the ZAR/Euro quote or invoice to US$ using the current rate of exchange (as provided by Triumph Travel). This value must be added to the US$ quote or invoice to arrive at the total US$ price per person. Please note that this will provide an indication only and will be subject to adjustment based on the rate of exchange on the date of payment.

  • If you do pay in a currency other than the invoiced currency, the currency conversion must be CONTRACTED AT A RATE OF EXCHANGE DETERMINED BY TRIUMPH TRAVEL.

  • When paying services in Rands and in Dollars independently that belongs to the same clients (and that both payments are being done in US Dollars) we must receive two separate payments, one for the Rand Services and one for the Dollar Services

  • Please contact us to establish this exchange rate in advance of payment, and contracted rates will be confirmed to you in writing by way of email. Please e-mail bookings@triumph-travel.com or your travel specialist in order to get the Rate of Exchange (ROE).

  • The quoted amounts are NETT.


CLIENTS’ AGES AS SUPPLIED TO TRIUMPH TRAVEL BY AGENTS:

  • Triumph Travel will always accept the ages of guests as per the information supplied to us by the agent.

  • Please be aware that the age must be provided as per the TIME OF TRAVEL.

  • If at the time of check-in at a property, the age of the client is different to that as supplied to Triumph Travel , we will invoice the agent the difference in rates, extra charges, breakfasts, or any other amount invoiced by the property to Triumph Travel.

  • We strongly suggest that this information is carefully checked against passport documentation.

  • Triumph Travel will not be held responsible for any inconvenience caused regarding this issue.


WHAT IS GENERALLY INCLUDED:

  • All accommodation on a shared basis;

  • Meals as specified;

  • Excursions and transfers as specified;

  • Most safari camps/lodges include two game activities per day in their tariff (one in the morning and the other in the afternoon). A private vehicle and guide can be booked at an additional cost for extra activities (or special interest activities). Please advise if you would like additional information on this service;

  • Relevant park fees as specified in the quote;

  • Drinks as specified – drink inclusions differ between camps/lodges;

  • Laundry can be done at most camps/lodges and hotels. In some cases this is included in the tariff quoted.

  • Air transfers on shared seat rates / private charters as specified;

  • Accommodation taxes, the applicable Tourism Levies and all relevant Value Added Tax (VAT) or Government Sales Tax (GST).


WHAT IS NOT INCLUDED:

  • Items of personal nature.

  • Any scheduled commercial flights and related taxes.

  • Any tips or gratuities.

  • Medical and baggage insurance.

  • Meals not specified in the quote.

  • Cancellation Insurance.

  • Any new Government Taxes, levies, fuel or industry increases.

  • Visa fees.

  • International or Domestic Airport Taxes.


SCHEDULED FLIGHT TICKETS: STANDARD TERMS & CONDITIONS:

  • All airlines require FULL FIRST NAMES AND SURNAMES as per the passengers passport to make a reservation.

  • Triumph Travel will only make Air Bookings once passport copies are received.

  • Airlines do not allow name changes after tickets are issued.

  • Fares and taxes on flights are quoted per person and at current rates. These are subject to airline increases or rate of exchange fluctuations at any time prior to date of issue.

  • Airfares are subject to seat availability and rules, including discounted fares (if applicable) and pertaining to advance purchases, cancellation and amendment penalties.

  • Triumph Travel will charge a cancellation fee if applying for a refund on an issued ticket plus the cancellation penalties that apply to each airline and fare rule.

  • Triumph Travel will not be responsible for any re-routing, delay or cancellation done by the airlines.

  • Guests should carry adequate travel insurance to cover such eventualities. If this also affects the journey cancellation policies might apply for transfers, tours and accommodation affected.


GENERAL WEIGHT & LUGGAGE RESTRICTIONS LIGHT AIRCRAFT:

  • Baggage and weight allowances may vary within South Africa, Zambia, Zimbabwe, Namibia and Botswana.

  • Aircrafts are designed with a maximum bodyweight and luggage weight allowance; not all aircraft can land in all airstrips because each airstrip has a particular regulation about the carrying capacity of the aircrafts.

  • The regulations are not only about size but a combination of size (specific measures) and weight.

  • Luggage, including camera equipment and hand luggage is restricted to 20 kg per person travelling.

  • Only soft bags are accepted – NO WHEELS, FRAMES OR RIGID STRUCTURES CAN BE TRANSPORTED AS FLEXIBILITY OF THE BAG IS LIMITED AND RESTRICTS PHYSICAL LOADING ONTO THE AIRCRAFT.

  • The maximum dimensions of soft bags which can be accommodated are as follows:

  • 25 cm wide x 30 cm high and 62 cm long.


PLEASE TAKE NOTE OF THE FOLLOWING INFORMATION:

  • In general, safari camps and hotels provide toilet amenities. Laundry is also generally provided on a daily basis.

  • Most camps offer this service free of charge. Some camps/lodges provide this service at an additional cost.


EXCESS LUGGAGE:

  • Should guests need to bring luggage in excess of the stipulated allowance, they have the option of

  • purchasing additional weight allowance. Please contact us should this be the case as this does not

  • apply to all charter companies.

PASSPORT & VISAS:

  • Visitors to Africa must have a passport that is valid for at least 6 months beyond the intended

  • departure date, together with onward travel documents, proof of accommodation and sufficient funds for the duration of the stay. In addition, each country the client may be visiting generally requires at least 2 consecutive/side by side blank pages on entry for both visas and stamps. Should the clients’ itinerary include more than one country, excluding the country of departure and return, please ensure that the client has a sufficient number of blank visa pages (not endorsement pages) in the passport. Should there be insufficient blank pages in the passport then entry into a country could be denied.

  • Any applicable visas, costs and/or relevant documentation are clients responsibility. Please verify with the relevant consulate concerning visa entry requirements and, if extending the journey to other countries, visa entry requirements for those countries need to be established as well. Ensure that the client has all necessary visas prior to departure from the home country (unless these can be obtained on arrival) Triumph Travel and staff cannot be held liable should entry be denied.

  • If a parent/guardian is travelling to South Africa alone with a minor child/ren (aged 18 years or younger), the parent/ guardian must be in possession of a certified letter of consent from the non-accompanying parent or guardian.


DEPOSIT, CANCELLATION & ATTRITION SCHEDULE:

General Terms and Conditions

  • In order to confirm a booking Triumph Travel will require 30% non-refundable deposit of the total amount. Each property and supplier have their own terms and conditions. In certain cases the deposit might not be refundable.

  • Flights need to be paid immediately after the booking is confirmed (Commercial).

  • Full payment will be required 45 days before starting the itinerary, unless prior arrangements have been made.

  • In case of the booking being requested or confirmed within 30 days of the start date of the trip, a 100% payment will be required immediately.

  • In some cases lodges and hotels require full payment 45 or 60 days before travelling or immediate payment for peak season bookings.

Cancellation

  • Only written cancellation requests will be taken into consideration.

  • Cancellation Policy: TRIUMPH TRAVEL PTY LTD reserves the right to charge cancellation fees for booking services rendered. In addition, TRIUMPH TRAVEL PTY LTD is obliged to pass on cancellation penalties as levied by the hotels, lodges and service providers concerned. TRIUMPH

  • TRAVEL PTY LTD will always try to have cancellation fees waived where possible or will negotiate to

  • have these reduced. However, hotel, lodges and third-party service providers have a right to charge

  • cancellation fees and it is imperative that a 30% non-refundable deposit is held by the Agent prior to

  • confirming a booking to cover these should the occasion arise.

  • Cancellation charges vary between hotels and lodges, and between various Southern & East Africa

  • countries. The cancellations stated here are Triumph Travel General Cancellation Conditions, When lodges, hotels or service providers have stricter cancellation policy, the same ones will be applied.

  • Agent and TRIUMPH TRAVEL PTY LTD, the following cancellation charges apply, irrespective of property or lodge and should be used as the basis for a holding deposit by the Agent:

  • 30% cancellation is applicable on confirmation until 46 days prior

  • 31-45 days prior: 50% cancellation

  • 8-30 days prior: 75% cancellation

  • 1-7 days prior: 100% cancellation

  • There may be some services on a booking which require full payment or a deposit at time of confirmation. These include, but are not limited to, scheduled flights, Festive Season deposits and extraordinary property deposits. These are payable on receipt of invoice and are non-refundable, and these deposit payments are over and above the cancellation policy stated above. No refund will be made for no-shows or unused services whilst travel is under way.

  • Please note the above cancellation policy applies to FIT bookings only. Group booking terms and conditions will be advised separately.

Rerouted, Cancelled or Delayed Flights that Affect your Itinerary

  • Should any commercial or regional flights, private charters or air shuttles be cancelled, delayed or

  • rerouted for any reason and this affects the itinerary of the passengers somehow, Triumph Travel

  • cannot be held responsible for the loss of connecting services or for new services that need to be

  • booked because of this rerouting, cancellation or delay.

  • This is valid for both flights that have or have not been issued by Triumph Travel. This includes, but is not limited to:-o Accommodation: Lost or any additional accommodation required.

  • Transport: Unused or new transfers.

  • Flights: Unused connecting flights or new flights.

  • Guides: Not utilized or new services to hire guides. In some cases Triumph Travel cannot guarantee a special language guide for new services that we need to book. Guides and transportation carry a 100% cancellation charge plus the cost of any new service we need to book should we need to rearrange the itinerary.

Meet & Greet/Assist on Arrival or Between Connecting Flights

  • Meet & Greet/Assist services to arrivals or between connecting flights is a service provided according to the operations schedule of each airport.

  • Triumph Travel cannot guarantee that it will be carried out from aircraft door/gate to aircraft door/gate, but that the client will be met at the baggage belt onward.

  • If the Airports’ Company decide to change a gate of disembarking at the last minute, this can lead to the loss of this service and this loss cannot be refunded as this is beyond our control.

  • Weather Dependable Activities

  • Some outdoor activities are subject to or dependent on the weather.

  • In case of cancellation due to the weather, the cost of the activities might be refunded depending on the terms and conditions of that activity supplier.

  • Transport and guides attached to the service will carry a 100% cancellation fee if you decide not to utilize the transport and guide attached to the service. Guides and vehicles will remain at disposal for a maximum of 4 hours

(Half Day Tours) or 8 hours (Full Day Tours)

  • Any entrance fees or activity costs that arise during the utilization of the guide and vehicle will be for your own account.

  • In the event where a meal was involved, this will depend on if it was to be supplied by the Activity

  • Supplier or if we cost for it extra. Should Triumph Travel cost for it extra, we will still provide the meal, otherwise the said meal will be for the clients’ own account.

Road Transfers

  • It remains the responsibility of the client to inform Triumph Travel of any changes to their flight

  • schedule and/or arrival times. Travel Triumph undertakes to wait a maximum of one (1) hour from flight landing for passenger at arrivals. If passengers do not present themselves in this time, we cannot guarantee that our vehicles and chauffeurs/guides will wait longer and the service may incur a 100% cancellation fee.

  • If it is reported that passengers will arrive on another flight, Triumph Travel will bill an extra service but will always try its best to avoid expenses incurred, but we may not always be able to guarantee this.

  • If the service is lost and includes a foreign language guide/driver, we cannot guarantee that the new service is performed in the original language contracted.

  • We cannot guarantee changes to previous schedules pick up times to different than those stipulated above.


PLEASE NOTE:

  • Please ensure that you are aware of our booking conditions.

  • Taking this journey with us implies your acceptance of these conditions.

  • Prior to confirming the booking each guest must take out comprehensive travel, medical,cancellation, curtailment and default insurance for the duration of their trip.

  • Due to the remote areas in which we operate, it is vital that all guests are covered for emergencies and other unforeseen circumstances. We will not be held responsible for any guest travelling without insurance.

  • The relevant cancellation policy applies should the guest fail to join or start their safari/journey for any reason, including airline delays or missed connections. Please ensure that adequate travel insurance is in place for this eventuality.

  • The above itinerary may include camps/lodges that are situated in Malaria and Yellow Fever areas.

  • Please consult a medical practitioner, pharmacist or travel clinic and establish what precautions will be required.

  • Due to the logistics of travelling on a safari to remote areas, we strongly recommend that all guests

  • read the literature provided.

FLIGHT DELAYS, TRANSFERS AND THE JOURNEY AFFECTED:

CONNECTING TIME SUGGESTIONS:

INBOUND FLIGHTS TO AIRPORTS;

  • Domestic: 3.0 hours prior to Federal Air Shuttle Departure time

  • International: 4.0 hours prior to Federal Air Shuttle Departure time

OUTBOUND FLIGHTS FROM AIRPORTS;

  • Domestic: 3.0 hours prior to Federal Air Shuttle Departure time

  • International: 4.0 hours prior to Federal Air Shuttle Departure time

  • Amendment fees now apply to bookings within 72 hours of flying that are NOT a flight cancellation:

  • Date change: R1250.00

  • Time change on day of travel: R500.00


FEDERAL AIRLINES GENERAL TERMS & CONDITIONS

  • We offer a shuttle service and NOT a scheduled service, therefore times and routes may vary from day-to-day depending on actual bookings.

  • All shuttle departure times are subject to change.

  • Guests booked on “Shuttle” flights are not guaranteed to be on the same aircraft. Federal Airlines will do everything possible to assist families/groups who are together, subject to operational requirements.

  • Aircraft landing and/or departure may be delayed due to animals obstructing the runway.

  • O.R.T. International Airport is one of the busiest airports in the Southern Hemisphere. As such we often incur Air Traffic Control delays due to aircraft congestion.

  • Transport between game lodge airstrips and the actual lodges will be provided by the lodge, we constantly update the lodge staff with all flight details so that they are well prepared for our guests’ arrival.

  • Confirmed bookings subject to automatic release if passengers’ full names are not received at time of confirmation.

  • We reserve the right to include technical stops en-route due to operating conditions at the time, which is in the interest of safety and at the sole discretion of the Captain.

  • Smoking is not permitted on any of our flights.

  • Federal Airlines operates as a Point-to-Point Airline and will not be held responsible or liable should

  • incoming/connecting flights be missed/delayed resulting in passengers missing their shuttle connection to the bush or onward flights. We will endeavour to assist them on a later departure from/to the bush, subject to seat and flight availability.

  • We cannot be held liable or responsible for any delays due to weather, ATC or technical delays, we will however rectify the situation to the best of our ability.

  • In the event of bad weather (low cloud or water logged runways) Federal Airlines reserves the right to drop-off clients “at the nearest suitable and serviceable airstrip”. This might mean a road transfer to ensure that guests reach their final destination. This road transfer will not be for Federal Airlines’ account, but will be for the guests’ account. This diversion will only be done in the interest of safety and when weather and/or runway conditions are not suitable to land at your original destination.


Federal Airlines (Pty) Ltd. Trading as Federal Airlines cannot be held liable or responsible for any delays due to weather, resulting in missed connections when returning from any lodge.

  • Letter from the person who is to receive the minor in South Africa or foreign country; containing his or

  • copy of the identity document, or valid passport and visa, or permanent residence permit

  • Contact details of the parents or legal guardian of the minor


UNACCOMPANIED, WHERE PARENT IS WIDOWED (BIOLOGICAL PARENT)

  • Parental Consent Affidavit (PCA) not older than 4 months

  • Death certificate of the deceased parent

  • Letter from the person who is to receive the minor in South Africa or foreign country; containing his or her residential address and contact details where the minor will be residing.

  • Proof of identity of the person who is to receive the minor in South Africa or foreign country; either

  • copy of the identity document, or valid passport and visa, or permanent residence permit

  • Contact details of the parents or legal guardian of the minor


UNACCOMPANIED, WHERE PARENT IS WIDOWED (ADOPTIVE PARENT)

Parental Consent Affidavit (PCA) not older than 4 months

  • Death certificate of the deceased parent

  • Letter from the person who is to receive the minor in South Africa or foreign country; containing his or her residential address and contact details where the minor will be residing.

  • Proof of identity of the person who is to receive the minor in South Africa or foreign country; either copy of the identity document, or valid passport and visa, or permanent residence permit

  • Contact details of the parents or legal guardian of the minor

  • Plus one of the following

  • Court order confirming the adoption of the minor by the adoptive parent(s)

  • Adoption Certificate


TRAVEL DOCUMENTS NEEDED WHEN CHILD’S PARENTS ARE NOT MARRIED (BUT BOTH APPEAR ON THE UNABRIDGED BIRTH CERTIFICATE), HOWEVER CHILD IS TRAVELLING WITH AN ADULT THAT IS NOT A PARENT NOR LEGAL GUARDIAN

  • Plus one of the following

  • Parental Consent Affidavit (PCA) not older than 4 months

  • Guardianship Order

  • Letter of Special Circumstances issued by Director-General of Home Affairs in the event that a parent or parents are incapacitated or deceased and no legal guardian has been appointed as yet.


TRAVEL DOCUMENTS NEEDED WHEN CHILD HAS A SINGLE PARENT (I.E. ONLY ONE PARENT ON THE UNABRIDGED BIRTH CERTIFICATE), AND CHILD IS TRAVELLING WITH AN ADULT THAT IS NOT A PARENT NOR LEGAL GUARDIAN

  • Parental Consent Affidavit (PCA) not older than 4 months

  • UNACCOMPANIED, AND CHILD IS IN ALTERNATIVE CARE (I.E. FOSTER CARE, YOUTH CARE CENTRE, TEMPORARY SAFE CARE

  • Letter from the Provincial Head of the Department of Social Development where the child resides, authorising his or her departure from the Republic as contemplated in section 169 of the Children’s Act.

  • Letter from the person who is to receive the minor in South Africa or foreign country; containing his or her residential address and contact details where the minor will be residing.

  • Proof of identity of the person who is to receive the minor in South Africa or foreign country; either copy of the identity document, or valid passport and visa, or permanent residence permit

  • Contact details of the parents or legal guardian of the minor


TRAVEL DOCUMENTS NEEDED WHEN CHILD IS AN ORPHAN (I.E. WITHOUT LEGAL GUARDIAN OR ADOPTION YET)

  • Letter of Special Circumstances issued by Director-General of Home Affairs in the event that a parent or parents are incapacitated or deceased and no legal guardian has been appointed as yet.

  • Plus one of the following

  • Parental Consent Affidavit (PCA) not older than 4 months

  • Court order granting FULL parental responsibilities and rights

  • Court order granted in terms of section 18(5) of the Children’s Act, 2005

  • Letter of Special Circumstances issued by Director-General of Home Affairs in the event that a parent or parents are incapacitated or deceased and no legal guardian has been  appointed as yet.
